Refund & Cancellation Policy

The Artificial Intelligence Rotary Fellowship (AIRF) is committed to transparency regarding refunds and cancellations. This policy outlines the conditions under which refunds may be issued for membership fees and event registrations.

Membership Fees

General Refund Policy

Membership fees are generally non-refundable. All funds go directly to supporting AIRF's programs, tools, outreach efforts, and operational expenses. By purchasing a membership, you acknowledge that fees support the fellowship's mission and operations.

Exceptions

Refunds may be considered in the following exceptional circumstances:

  • Duplicate Payment: If you accidentally made multiple payments for the same membership, we will refund the duplicate charges within 7 days of notification.
  • Wrong Membership Tier: If you purchased the wrong membership tier, contact us within 7 days. We may offer to upgrade/downgrade your membership or provide a refund, minus any processing fees.
  • Technical Error: If a technical error resulted in an incorrect charge, we will investigate and provide a full refund if verified.
  • Immediate Cancellation: If you cancel your membership within 24 hours of purchase and have not accessed member benefits, a refund may be considered, subject to processing fees.

Refund Request Process

How to Request a Refund

To request a refund, please:

  1. Contact AIRF at membership@airotaryfellowship.org within the applicable timeframe
  2. Include your membership details, transaction ID, and reason for the refund request
  3. Provide any supporting documentation if applicable

Processing Time

Refund requests are reviewed within 5-7 business days. Approved refunds will be processed to your original payment method within 10-14 business days, depending on your payment provider. Processing fees may be deducted from refunded amounts.

Event Registrations

Cancellation Policy

Event cancellation and refund policies vary by event and are specified at the time of registration. Generally:

  • Free Events: No refund applicable. Cancellation helps us manage capacity.
  • Paid Events: Refund eligibility depends on the event's specific cancellation policy.
  • Cancellation Deadlines: Full or partial refunds may be available if you cancel before the event deadline (typically 7-14 days before the event date).
  • No-Shows: Registrants who do not attend without prior cancellation are not eligible for refunds.

Event Cancellation by AIRF

If AIRF cancels an event, all registered participants will receive a full refund of registration fees. Alternative arrangements or credits may be offered at AIRF's discretion. AIRF is not responsible for travel or accommodation costs associated with canceled events.

Processing Fees

The following fees may apply to refunds:

  • Payment Processing Fees: Transaction fees charged by payment processors (typically 2.9% + $0.30 for credit cards) are non-refundable and may be deducted from refunded amounts.
  • Administrative Fees: In some cases, a small administrative fee (typically $5-10) may be deducted to cover processing costs.

Processing fees are waived for refunds due to AIRF errors, duplicate payments, or technical issues.

Chargebacks

If you dispute a charge with your bank or credit card company (chargeback), AIRF will investigate the claim. We reserve the right to suspend or terminate membership access during chargeback investigations. Fraudulent chargebacks may result in permanent membership termination.

Membership Cancellation

Voluntary Cancellation

You may cancel your membership at any time by contacting AIRF membership services. Cancellation does not entitle you to a refund for unused membership periods, except as specified in the refund exceptions above.

Effect of Cancellation

Upon cancellation, your access to member benefits will continue until the end of your current membership period. After expiration, you will lose access to member-only content, events, and resources. You may rejoin at any time by purchasing a new membership.

Currency and Exchange Rates

All membership fees and refunds are processed in USD (United States Dollars). If you paid in a different currency, refunds will be issued in USD at the exchange rate applicable at the time of refund processing. Exchange rate fluctuations may affect the refund amount you receive.

Dispute Resolution

If you are dissatisfied with a refund decision, you may request a review by AIRF leadership. We are committed to fair and transparent resolution of refund disputes. All decisions are made in accordance with this policy and Rotary International's ethical standards.
